The Registrar shall have custody of Division Register in which shall be kept a record of all members by Chapters, with full lineage record and date of admission to membership. She shall keep a list of all Chapters and dates of issuance of their respective Charters and Charter cancellations.

The Registrar shall receive and process all applications for membership and transfer. If the applications conform to the General Organization’s requirements, the Registrar shall record them; otherwise she shall return them to the Chapter Registrar for completion.

She shall receive fees for Charters, initiation, certificates, membership and transfers (SEE STANDING RULES).

 She shall send signed, approved applications and reports on regulation forms, accompanied by the checks made payable to “Treasurer General UDC to the Registrar General”.

 She shall keep a record according to Chapter listing number of applications and transfers accepted and rejected and the number of new members between the ages of 16 – 25.

 The Registrar shall keep a card file of all members containing:
Name, Chapter and Location, Ancestor and Relationship, War Record of Ancestor, Date Admitted to Chapter, Date accepted by General, Date of Birth, If a Transfer—where from.

Only the Registrar and Assistant to the Registrar shall have access to the Membership files in the Archives Building. They shall research and answer all requests for membership registration information.

The books of the Division Registrar shall close August 31 and applications received after that date will be recorded in the following year.

 She shall submit a report to the Annual Division Convention.
