Duties of the Recording Secretary
The Recording Secretary shall tape record the proceedings of meetings
of the Organization, including the Executive Committee and the Executive
Board. An approved copy of the Minutes of the Executive Board and
business sessions at Annual Division Convention shall be filed with the
Division President within two (2) weeks after the meetings adjourn keeping
the tapes for review.
She shall keep a file of proceedings and programs of Conventions
which shall be bound from time to time in uniform volumes; she shall keep a
record of all Chapters and Chapter Presidents in the Division and she shall
keep a file of past Division Officers. She shall be responsible for placing the
validated Articles of Incorporation and the Corporate Minutes in the Florida
Division UDC Safe Deposit Box. She shall retain a copy for her own use and
furnish copies to the President and Treasurer. She shall add the minutes of
the Annual Corporate Meeting to the Corporate Minutes. She shall contract
for all printing as the President may direct. She shall send the proposed
Bylaw changes in accordance with directives under the ARTICLE entitled
“Amendments and Revisions” as directed by the President.
She shall be responsible for the collection of all reports and required
materials for printing of Minute Book. She shall send copies of the
published Minutes of the Annual Conventions to all persons listed
in the ARTICLE on Minutes. At the discretion of the President she
shall notify Division Officers, Ex-Division Presidents, Honorary Presidents,
Chapter Presidents, Standing Committee Chairmen, and General officers of
the time and place of Convention. She shall submit a report to the
Annual Division Convention.
